Address management in Vertec CRM consists of four types of addresses
and simple addresses, which are no longer available by default.
The address icons are blue to distinguish them from the green project icons. You can create new addresses via the menu button New entry.
Create a new person. The individual view looks like this:
At the top of the window, you can enter the address information. In the View field, you can see a preview of how the address will be printed later (see article about address layouts).
You can enter several addresses per address entry. See the article Postal addresses / Second addresses.
In the lower part of the screen, you can enter the communication channels.
On the Further information
page, you can enter additional information such as date of birth, alias, customer number, etc.
Accounts (company addresses) are entered in the same way as personal addresses.
Accounts can also be linked together as parent companies – subsidiaries. An account can have only one parent company, but any number of subsidiaries can be assigned.
By clicking on the button with the three dots, the address selection appears, from which you can select the parent company.
As soon as a parent company-subsidiary link exists, a Parent company
subfolder appears on the account, in which the linked address is listed. On the parent company itself, a Subsidiary
folder appears, where all assigned subsidiaries are listed.
A contact is a combination of an account and personal information. In Vertec there are two ways to create contacts:
You can create contacts on an account directly via the new menu button. The last name and first name have to be manually entered into the fields. The Account field and the relevant communication channels are automatically filled in.
Alternatively, you have the option of assigning a person or personal address from the system. This is recommended if additional information such as the contact person's home address, phone number, etc., are relevant, or if you have several business relationships with the contact person.
In the Name field, click on the button with the three dots and select an existing person:
With the button X
, you can remove the person again. The other view then appears again.
The standard address of the account is automatically assigned to the contact by default. If you want to select additional addresses or define a different one as the default, proceed in the same way as if you want to enter a second address. A window appears showing all the available addresses of the account and person, from which you can select the desired address.
The communication channels of the account and, if available, the person are shown on the contact. However, you can also enter your own communication channels on the contact. If a communication channel is entered on the contact, it becomes the default. The difference between whether a communication channel belongs to the contact itself or whether it is shown by the account or the person is that the communication channels belonging only to the contact appear green in the table.
If the personal account of a contact is empty, the personal account of the account is used. If the contact has its own personal account, it is used.
The select button that enables you to select a person is tied to the write permission for the member person on the contact. To prevent people from being assigned as objects, you can deny this user right:
The couple works in a similar way to contact. The couple simply connects two people to each other. Just as with the contact, this can be done via a link to a person object or simply as text.
Create a new couple. You can now enter person A and person B, either by entering the first and last name in the fields or by selecting a person in Vertec using the button with the three dots.
If one of the two people is selected from Vertec, that person’s address is automatically inserted as a couple address. If both people are linked as objects, as in this example, the first address that was added applies.
You can also select a different address or create a new one for a couple that consists of links or a link and a text. This works in the same way as entering second addresses on all address types.
If both people are entered as text, you can manually enter an address for the couple here:
Click on the button Select mail address....
You then need to specify a designation, after which the usual address fields appear, which you can fill in.
The communication channels work in the same way as for contacts. The communication channels of all persons who are assigned as a link are shown. However, you can also enter your own communication channels on the couple.
If a communication channel is entered on the couple, it becomes the default. Whether a communication channel belongs to the couple itself, or whether it is shown by a person, can be seen by the fact that the communication channels belonging to the couple appear green in the list.
On addresses, a user can be assigned as a manager. This is done in the Manager
field on the detail view of the address:
On the user, which is defined as the manager for addresses, the addresses appear in the Managed accounts
folder:
Depending on the type of address, different fields are shown on the Further information page.

If you need one of these fields on the interface of another address type, you can enable it via Customizing in the address class settings.
Simple addresses are no longer offered in Vertec since they cannot be linked to other addresses and are therefore not suitable for the representation of accounts and contacts.
Simple addresses still work, but we recommend that you stop using them for new addresses.
