How to Work with the Vertec Outlook App

For project- and mandate-oriented service providers, email is often the first point of contact with customers and cases, and at the same time one of the biggest time traps in everyday work. What arrives in Outlook often has to be manually transferred to the customer management. The Vertec Outlook App fills exactly this gap: it runs directly in the Outlook sidebar, both in the app version and in the Windows application.

These five benefits make it easier to work with Outlook and Vertec CRM ERP

1. Identify and create contacts directly from the email
The app automatically detects the sender address of an incoming email and suggests it for new creation. New contact persons for customers or clients can thus be entered without detour via the separate address management system. This works including assignment to the appropriate company, which Vertec suggests directly to already known companies.

Save emails as an activity with one click
Instead of manually documenting emails, every message can be saved directly from Outlook as an activity in Vertec with the appropriate activity type, e-mail text and any attachments. This allows you to track the entire history in one location without anyone having to copy or forward the content.

3. Assigning activities to a project or case
When you file an email, it can be linked directly to a project. This way, the link to the specific task or case remains intact, even if several people in the team are working on the same issue.

4. Transfer tasks and follow-ups directly to colleagues You can immediately create a create-up for another person
from a saved activity. The person sees the task in their open activities in the Vertec Cloud App, can edit it and mark it as completed. This makes processes visible to everyone involved.

5. Seamlessly switching between Outlook and Vertec
Clicking on a contact or activity in the Outlook App takes you straight to the corresponding view in Vertec and vice versa. No need to switch between email inbox and account management, and the team works with the same, up-to-current data all the time.

Since Vertec version 6.5, the new Vertec Outlook App is available. Compared to the Vertec Outlook add-in, the app offers a much deeper integration – both in the Outlook Web version and in the Outlook Windows application. In the video Tobias Wielki explains how to work with the app.
