Vertec Base Package, Budgeting Package
My brother-in-law recommended Vertec because he was happy with it. We invited Mr. Wipf and asked him countless questions. Most – probably almost all – were simply answered in the affirmative. After that, I did not make any further evaluations, but chose Vertec straight away. I also wanted to consciously choose something different from what I already knew. That is how we use Vertec today.
Spektra Netcom AG is available spontaneously and is characterized by a great variety – even larger ideas can be implemented. They themselves make many recommendations where improvements would or would not be useful. When we receive something new, we receive a small, very transparent guide – with little hours and a lot of impact.
We have used many of the possibilities that this software offers. Previously, we spent a lot of hours on reporting, invoicing, creating schedules and the cash book – all spread across multiple Excel files. No one had the overview, not even me, although that would have been my job. We have now implemented all of these processes in Vertec.
We focus on reporting and invoicing. It is important for us to have clean reporting, in which the client recognises that the work is being done seriously, as well as clean invoicing: The invoices should look appealing, be transparent and offer the opportunity to take into account individual customer wishes, so that the invoice corresponds exactly to the customer’s ideas.
Employees mostly use time tracking. We also set up the plan sheet: Each project has multiple plans, and the plan sheet shows what a plan is called, how big it is, and how often it has been revised – all of that can be entered there. If a plan is printed, the printout must also be entered in the project, as costs are charged for it. Vertec has made this process so simple that employees are now almost happy to print and enter a plan.
The greatest individual solution is our order overview or order control. It is a very large table – you would need a large screen to see it all at a glance. But the most important information is compactly displayed: project name, fee already used, fee remaining, and indications of where invoicing would be possible. This makes my invoicing planning a lot easier. I know which invoices I am going to write at the end of the month, and I can plan two months in advance where I want to issue an invoice. It also gives me confidence in liquidity planning. The Board of Directors regularly asks me if I have liquidity under control – thanks to this table, I can answer that with just a few clicks each month.
We issue around 500 invoices a year. If I save 20 to 25 minutes per invoice – which is more conservative – that translates into savings of 150 to 200 hours a year. This has significantly increased my productivity, and I can use this time for service types that bring real financial value.
At the beginning of a project, we enter a cost breakdown that can be adjusted or modified at any time. For example, with one or a few clicks, ten invoices can be triggered at the same time – each with a different recipient and an individual amount. All amounts automatically flow into the accounts receivable list. In the past, we had to manually enter this into Excel lists with considerable hours. Today, in Vertec, this means enormous time savings.
He responded to all of our requests – I would say that he was able to implement almost 100 percent of them with suitable solution ideas. I was impressed by how intensively he studied our project in the office and worked out solutions. I would like to express my thanks for that: He has brought our Vertec solution to such an extent that both I and my employees enjoy it a lot. It is also worth mentioning that the software can be easily expanded for several subsidiaries or departments – he has also developed very clear solutions for this.
