Invoicing made easy with Vertec
From manual invoicing in Excel and Word to centralized time tracking and digital invoicing at the push of a button: With the implementation of a suitable business software, a lot changes for small and medium-sized companies. As part of our series, we asked IITR Datenschutz GmbH: How has your daily work and invoicing changed as a result of the use of the software?
Optimize the billing process
With the help of Vertec as a Software for business consulting, IITR Datenschutz GmbH was able to automate its entire billing process. “With one click, invoices can now be created in Vertec and automatically sent to customers respective customers via email with a personal Formofaddress. At the same time, the invoices are posted and transmitted to DATEV, including the receipt,” explains founder Dr. Sebastian Kraska.
This solution was parameterized individually by Vertec for IITR data protection and does not correspond to the standard process. Kraska appreciates Vertec’s flexibility in implementing the invoicing program: “It’s a big advantage to be able to submit our specific requirements directly to a software company and not have to adapt our processes to the software.” Digital invoicing saves him money every month.
For project-oriented service providers, manual invoicing is above all one thing: a real time-consuming process. If, for example, you need one hour per invoice and write 30 invoices per month for manual invoicing in Word and Excel, invoicing will cost you at an hourly rate of CHF 100 per month (30 x 1) x CHF 100 = CHF 3,000. That’s CHF 36,000 per year.

Now, the time spent with post-checking per invoice is only 15 minutes. The invoices are created with a click using stored hourly rates and customizable templates. The costs for this amount to (30 x 0.25) x CHF 100 = CHF 750 per month. That amounts to CHF 9,000 per year. In this example, you can save CHF 27,000 per year in the invoicing process alone with Vertec.
In the worst case scenario, you may be handing over all your invoices in a shoebox to your tax advisor, who in turn manually transfers them to Datev. And of course, an error creeps in here and there during the manual transfer. On the other hand, if you transfer your invoice data digitally from Vertec to Datev, the invoices are already appropriately pre-accounted, so that erroneous postings are ruled out.
