«Think twice before you tie the knot»

I had to laugh when my coach told me that. I was happily engaged, so what was he getting at? Then he looked at me more seriously and added: «I mean your ERP system.»

At this moment, I realized: The wrong decision would not only cost us money. It would rob us of time. Energy. Nerves. Maybe even motivation.

And that’s where we stood.

Our license invoicing was just a total confusion

Excel spreadsheets with different versions, paper invoices in folders, tools that don't work well together. Each month’s financial breakdown felt like a tightrope act without a net. One small mistake and we spent hours searching for the cause.

It was clear to me that we could not go on like this. We needed a solution that not only digitized processes, but really structured them. All standardized. Automated.

And then Vertec came into play.

I admit, I was skeptical at first. Yet another system? But right in first meeting with Vertec, I realized that this is not just about selling software. There are people sitting in front of me who wanted to understand how we worked and really understood the challenges facing our company.

With a proof of concept, we started with our most sensitive issue: license billing.

And yes, there were moments when I thought, «I hope this is not getting too complex. Maybe it is not right?» Processes had to be questioned, extensions had to be checked, old habits had to be let go. It wasn’t easy.

Especially when importing Google invoices, a complicated, granularly billed file for our outlays, we ran into limits. At first, the data did not run smoothly. Hours of manual rework were looming.

But this was just the point when the difference became obvious: Hans Jakob quickly wrote his own script that automated the import and mapped it neatly. No half-baked solutions. No workarounds. Instead, a sustainable implementation that simplified our process from the ground up.

Dario and Hans Jakob, sales and project management employees, remained calm, patient and solution-oriented. They explained every step, questioned existing processes and helped us eliminate unnecessary complexity.

And then this moment came:

The first invoices ran automatically through the system

No manual follow-up. No Excel reconciliation until late at night. The numbers were right. The data was clean. The processes were traceable.

I remember that moment so well. I was sitting in front of the screen, almost waiting for something to go wrong. But it simply worked.

With each new booking, confidence has grown. Scepticism has become certainty. Insecurity has become clarity.

Today, our ERP system is more than just a tool. License billing, service bookings, business controlling: Everything fits together perfectly. I can let go. My team works more focused. Decisions are now founded on clean data instead of a gut feeling.

Room for growth

And above all, we finally have room for growth again. For new projects. For strategic decisions instead of operational firefighting exercises.

Looking back on what my coach told me, he was right. You should think very carefully before tying the knot.
