How this feature creates benefits

The iManage DMS extension feature allows you to link and manage documents between your Vertec law firm software and the external document management system iManage. The integration allows you to keep track of project-related files and makes sure you can use the same documents in both Vertec and iManage DMS.

This feature is available for both Vertec Cloud Suite customers and on-premises installations.

How it works

The extension connects projects or cases in Vertec with so-called workspaces in iManage. This creates a fixed association between objects in Vertec and the document structure in the DMS. Documents themselves are not saved in Vertec, but referenced.

Setup happens in several steps. First, the application is registered in the iManage system. Then, access credentials and technical parameters are stored in Vertec. A provided config set supports the integration and provides the necessary objects and settings.

In daily use, the solution works as follows:

Linking of projects and workspaces
  • For a project or case, a workspace can be created automatically or manually in iManage. Alternatively, an existing workspace can be assigned
Workspace management
  • It is possible to define whether new workspaces are always created, only based on a template or if only existing structures should be used
Access to documents
  • Documents can be opened directly out of Vertec. Depending on the configuration, they can be accessed via the web client, the desktop application or a download link
Creating a workspace
  • For each mandate or case in Vertec, a workspace project can be created in iManage. The logic of the function provides options on how and when workspaces are created, for example always, only with a template or not at all (only search for existing ones)
Individual folder structure
  • The structure within the workspace is not pre-determined. It can be adapted to your internal preferences. In this way, your existing folder structure is maintained

The extension relies on the authentication of iManage. User rights are thus controlled in the DMS. Vertec only displays the referenced contents without creating its own document copies.

Often changes are made to texts or services entered.

Vertec helps you save a lot of time here. Approval procedures ensure that the correct services appear on the invoices and approval by the person responsible is granted. The services can be approved periodically and then blocked for further adjustments. Individually for each case or project, you can also implement any other approval procedures. You can, for example, approve individual services or grouped services on individual service lists. Once a month, the supervisor or responsible employee checks the services and releases them altogether for invoicing.

Your back-office or administration can see at a glance which services can be charged and which should remain open until the next billing cycle. By this approval procedure, fewer subsequent adjustments to invoices need to be made.

Also a plus: internal communication is reduced to a minimum.

You create a new offer on an existing case. You select the service types (performance) and assign them to the offer. The budgeting follows as the next step.
