Dunning system

This application is an Additional Feature. The corresponding config set can be found here.

Application

This additional feature implements a dunning process directly in Vertec.

By Import the config set, the option appears on an invoice via right-click or the Actions menu Mahnungen erstellen. All dunning invoices can be remindered in the folder Overview folder and filtered by customer, customer, project, dunning level and dunning level (see screenshot below). The folder is foldered in the root folder Invoicing root folder invoicing. The Dunning Process folder contains the following subfolders:

• One folder per dunning level Dunning level with two subfolders each containing all invoices that are still to be dunning or have already been dunned. The payment deadline can be set in the system settings in the Invoice section under Zahlungsfrist für Mahnungen (Tage) to be defined.
• All invoices with dunning stop: Show all dunning reminders with dunning stop. The dunning stop can be activated/deactivated in the list in the Dunning overview folder or directly on the dunning reminder on the page More Info.

Are the checkboxes Mahnstopp or Bezahlt ticked, the reminder disappears (after reloading) from the list Overview Reminders .

• Paid reminders are placed in the folder Bezahlte Rechnungen postponed.
• Reminders with dunning stop are placed in the folder Alle Rechnungen mit Mahnstopp postponed and no longer appear in the Evaluations .

Alternatively, activating the checkbox Stop dunning and entering the dunning level can also be done on the page Further Information of a dunning reminder in the section Possible dunning process :

Evaluations

The following folders are created under invoice > Report:

• Gemahnte Kunden: Contain all customers who have at least one outstanding reminder. The three dunning levels are shown in different colours.
• Ausstehende Beträge: Contain all outstanding invoices, whether reminded or not.

Send reminders by email

If reminders are to be sent by email directly from Vertec,

• either the report dispatch Additional Feature Report Dispatch can be imported (see below)
• or in case of integrated document storage on the page Document of the reminder via button Als E-Mail senden.

Note: The report sending additional featureon was previously called “E-mail templates”. This old version can no longer be combined with the current dunning additional featureon. To use both additional features, the new version of the report sending config set must be used.

By Import the config set Report Sending, the option appears on a reminder via right-click or the Actions menu Mahnungen erstellen und senden.

This generates an email with the appropriate subject, text and reminder as an attachment. The email is sent directly or stored in Outlook in the folder Designs – depending on the setting on the email template (Outlook or Smtp)created.

The e-mail template for the reminder can be found under “Setting” Settings in the “Templates folder” folder, which has additional features created by importing the Additional Feature Report Dispatch.

Requirements and Download

• The additional class 27 shall not yet be in use unless it has the Entry IdClassSettingsZK27EMailTemplates and comes from the already loaded Additional Feature Report Dispatch.

Important information before import can be found in the Worth knowing about the additional features article. Config sets modify data in Vertec, which can overwrite existing data.
