In this webinar on June 3, 2025, interested participants from the social education industry received a hands-on insight into how Vertec can streamline their processes more efficiently – from project kickoff to time tracking & expense recording to invoice allocation.
Vertec has proven itself as a central tool in social pedagogical practice – from case opening to time tracking to invoicing. The implementation of Vertec makes it possible to replace various stand-alone solutions. The software maps complex customer and family structures, supports structured case opening for KÜG (cost cover guarantee) and KOGU (cost cover language), enables simple and automated time tracking (incl. Travel times and pre- and post-processing according to SPF (special educational needs) and AJB (Office for Youth and Vocational Guidance) – and generates your invoices at the invoice of a button.
CRM
- Integration of a specific address type “family” to better represent the customer structure.
- Use of keywords for easy categorization of e.g. problems.
Project or case management
- phases, each of which is used as a CEC or CEC. This makes it easy to ensure that no services are provided that have not been approved beforehand.
- Standardized project codes (e.g. year family name child’s first name) for better structuring.
Time tracking
- Automated create of services based on project type, service type and other criteria with activity macros. For example, when creating a service for an on-site appointment, a service for the route and pre/post processing time is created directly, adhering to the settings created by the SPF/AJB.
- Use predefined text to simplify time tracking and customer compliance.
Invoicing
- Invoice template usually close to the standard.
- Structured CSV export for invoices, specifically for the AJB.
- Invoice split for better allocation and traceability of services and costs.
