Users can be grouped into user groups. With these user groups, you can manage the following:

  • User rights: User rights are granted in user groups. Any users which are assigned to these groups receive the rights defined therein. There are no user rights for individual users, instead you have to create a user group. 
  • Public holidays: If your company has locations in different states/cantons, federal states or countries, you can define the relevant public holidays in individual user groups.
  • Vacation and standard hours: A user group is defined for each combination of standard hours and vacation. For example, you can specify that employees under the age of 20 have five weeks of vacation, employees over 20 have four, both with 40 standard hours, etc.  
  • Root folders: The visibility of root folders in Vertec (root data, settings, etc.) is controlled by user groups. The folders are only visible to users who are assigned to such a user group.

Some user groups are already included by default. Each new user is automatically assigned to the Standard users group which grants the necessary basic rights to access time tracking and to work with Vertec.

Additional user groups grant certain users extra rights, e.g. for project managers to access their own projects, or for project supervisors to access all projects. You can find an overview of all standard user rights and user groups here.

The user groups are located in the folder Settings > Users > User groups. Each user group has the following subfolders:

Users
In the users subfolder you can see which users are already assigned to this user group. This folder only appears if users have already been assigned. The assignment is done on the individual user.
Absences
In the absences subfolder you can control the holidays and/or vacations of the entire user group. See the article about absences.
Settings
In the settings subfolder, you can define the standard hours and work time for this group. Please refer to the article about user settings.
User rights
In the user rights subfolder, you can define the specific user rights for this group. See the article about user rights.

Control the visibility of root folders

The user groups control which root folders the users see in Vertec. Root folders are the parent folders in Vertec (root data, public folder, settings, etc.).

Approve folder for viewing

To approve an existing root folder for viewing by a user group, go to the Actions menu and select Add folder view to user group:

A dialog appears in which you can select the appropriate root folder.

If you do not have this menu item, you can register the script: add folder view to group in your Vertec.

Remove folder from view

To remove the view of a root folder from a user group, go to the Actions menu and select Remove folder from view:

A dialog appears in which you can select the appropriate root folder.

If you do not have this menu item, you can register the script: remove folder from view in your Vertec.

New root folder

To create a new root folder via the user groups, go to the Actions menu and select New root folder:

A query appears asking where the name of the root folder can be specified.

The new root folder is added directly to the view of the user group on which the script is run.  

If the currently logged-in user (the user who creates the new root folder) is not a member of this user group, a query appears asking if they should be assigned to the user group. Otherwise, they may not be able to see the newly created root folder.  

If this menu item is not available to you, you can register the script: new root folder in your Vertec.  

Show activated root folders in list

If you want to know which folders are unlocked for which user group, go to the list settings and create a column in the user group list with the expression:

persRootEintraege->listtostring(' / ')
