System settings in the CRM / Activities tab

Default activity type for emails (Outlook add-in)

Here, you can define the type that is assigned to activities that are automatically created from Outlook.

PropertyName: ActivitytypeEmail. ObjectProperty.

Default activity type for Office reports

Here you can define the type of activities that are automatically created from Word.

PropertyName: ActivitytypeDocument. ObjectProperty.

Default value for "Save on send" (Outlook App)

By activating the checkbox, an email entered in the Outlook App is automatically created in Vertec. This links the activity in Vertec to the selected address, project, and activity type. For more information, see here.

PropertyName: OutlookAppSaveOnSend. BooleanProperty. Default: False.

Ensure project linking of documents via add-ins

This system setting can be used to define whether the user, when saving documents, must select at least one project via Vertec Explorer add-in.

If this setting is set to Yes, an error message appears if a document is to be saved to Vertec and no project has been selected.

PropertyName: DocLinkToProject. BooleanProperty.

Extended project search (Outlook App, Phone App)

Available from version 6.5.0.11. This setting expands the project search when writing or saving emails in the Outlook App: besides code, the fields description and regarding are also searched:

PropertyName: ExtendedProjectSearchInOutlookApp. BooleanProperty. Default: False.

Handling of Vertec links (Outlook App Web)

Available from version 6.5.0.22. With this setting, you can choose whether you want to open links in the web edition of the Outlook App, in the Desktop App, in the Cloud App or in the Web App.

PropertyName: VertecLinksInOutlookAppWeb. SelectionProperty . Default setting: Open Links in Web App.

Ignore history prior to the last x days (Outlook App, Phone App)

Enables you to limit the number of days of activity history loaded. This results in a better loading experience for many activities, but changes the behavior in some respects. Therefore, we recommend you select this setting only if there is really an urgent performance issue. You can find more information about this in the article Outlook App: operation and use.

If the setting has no value, 0, or a negative value, it is ignored and the default behavior applies.

PropertyName:     OutlookAppLoadHistoryWithSqlForXDays. IntegerProperty. Default: Empty.

Number of days preview in tasks

To prevent the activity list from becoming too long, you can specify how many days in advance you want activities to be shown. This is a default value. When viewing the activities, the time span can be extended.

PropertyName:   OutlookAppLoadHistoryWithSqlForXDays. IntegerProperty. Default: 30.

Outlook App Web Edition Client Secret

Available as of Vertec 6.8.0.8. Vertec Outlook App secret key in Microsoft 365; see Outlook App: installing the web edition.

Outlook App Web Edition ID URI

Available as of Vertec 6.8.0.8. The application ID URI under which the Vertec instance can be reached; see Outlook App: installing the web edition.

Outlook App Web Edition Tenant ID

Available as of Vertec 6.8.0.8. The directory ID (tenant) of the Vertec Outlook App 365; see Outlook App: installing the web edition.

Phase assignment in Outlook App

These settings enable the pre-selection of project and phase when creating a new service based on a calendar entry. You can find more information about this here.

PropertyName: ​PhasesInOutlookApp. BooleanProperty. Default: False.

Save absolute path on activities

Only relevant if System settings General > Document storage has been set to Filesystem or DMS.

  • Yes: document paths are fully saved on activities. This ensures that, even after changing the project of an activity, the path of an attached document remains valid. In a document extension such as Sharepoint, for example, the document is not found via the document repository, but via the metadata or via Vertec. However, it is important that the reference always refers to the actual document, even if, for example, an activity is moved.
    This means that document paths are no longer dynamic. If the document storage itself is moved, the paths may need to be adjusted manually.
  • No: If the system setting is set to No, the document path on the activity is dynamically saved. In this case, the path is composed of the base path and the document name.

Sharepoint site URL

The documents in Vertec are linked to a storage location. If you work with Sharepoint, this location is set to the document management system (DMS), instead of the usual file system.

Enter the server path where Sharepoint is located (http://server..).

The actual document path, i.e. the path to the Sharepoint document library, is also set in the system settings under General > Document path.

Show managed addresses in Phone App

When searching for addresses in the Phone App, the user’s managed addresses are shown by default. You can adjust this with this system setting. If the checkbox is deactivated, the list remains empty before searching.

PropertyName: GetManagedAdressesBooleanProperty. Default: Yes.

Show Vertec dialog when sending emails (Outlook)

  • Yes: Prompts the dialog for linking the mail to Vertec to automatically appear when the Send button is clicked.
  • No: If no, you must call up the dialog manually via the Vertec button.

PropertyName: HandleSendEmail. BooleanProperty. User-specific. Default: False.

Subfolders for email documents

This system setting allows you to define a relative path or folder to save linked emails. This information is later attached to the document path of the object in question.

For example, if the doc path is C:\Programs\Vertec\Documents\Projects\Cominstall and you have specified email in this system setting, a linked email automatically ends up in the folder C:\Programs\Vertec\Documents\Projects\Cominstall\Email.

PropertyName: EmailFolder. StringProperty.

Use opportunities in Outlook App

If you activate this setting, when you save an email in the Outlook App, you can assign an opportunity in addition to the project. For more information, see here.
