How to manage overtime and vacation carryovers

Overtime and vacation carryovers are default values that can be brought to any point in time. The balances are calculated on the basis of the last carryover. The credits for vacation and standard hours are also calculated on the basis of the last carryover for the calculation of the balances.

The vacation key date, which can be set for each user group, determines the date from which the vacation entitlement is renewed.

If you do not want to intervene in overtime or vacation balances (e.g. by paying off, etc.), then the balances do not have to be carried over, the system works year-round.

Carry over balances

On users or user groups, the option Carry over balances... is available in the Actions menu:

This allows you to generate defaults for overtime carryovers and vacation carryovers. The date can be fixed or derived from the employee’s joining date:

The actual balance and the balance calculated by Vertec can be transferred as a carryover (Carry over balance option above). Or a balance can be set by specifying an absolute value (Value option above). If this operation is executed on a group, the balance is set for all employees assigned to that group.

Key date

  • Date: Here you can select when the carryover should be entered. Simply select the appropriate date. The default is 01.01. of the year.
  • Vacation key date: This is where the carryover per vacation key date is entered (see user settings). In addition, you can specify that only vacation key dates before the selected date are taken into account. The default is today’s date.
