How to switch to the Cloud Suite

On-Premises and Cloud Suite – these are the two operating modes of Vertec that you can choose between as a customer.

An On-Premises installation requires the purchase of software licenses, while with the Cloud Suite software and services are rented for a certain period of time. Both operating modes have their special advantages, which must fit the individual requirements of the respective company. This means that it has to be weighed in each individual case. For this purpose, we have compiled the overview pages Vertec as On-premises crm and erp and Vertec as Cloud crm and erp.

When moving an existing On-Premises installation to a Cloud Suite, there are a few things to consider. These aspects, along with the procedure, are highlighted in this blog article.

But first let’s look at the differences between the two modes of operation.  

Vertec in On-Premises operation: the purchase of licenses

The use of purchased software licenses is often referred to as “on-premises software.” This means that the software, such as Vertec, is installed and operated on the company’s servers (on premiseslocation. It can be accessed either through software installed on the computer, the browser, or a smartphone.

When you purchase the software licenses, you acquire the unlimited right of use. If you do not host the software internally, but with an IT service provider, you do not need to have your own server. You rent an external server and install the software there. Professional data centers are excellently secured, security gaps are minimized by professional support.

As a user of a software license, you benefit from the unlimited usage license. In addition, you have full control over your data and databases. You can configure the servers you use so that your employees can access the data from anywhere and thus remain mobile.

Full flexibility: Vertec in the Cloud Suite

With the Vertec Cloud Suite, you get the temporary right to use the software license for a defined period of time (Software-as-a-Service or SaaS). You rent both the software and the server infrastructure necessary for your installation (such as servers) for the operation of Vertec. This also includes the use of the latest software version, the operation of the software and unlimited access to support.

As a cloud user, you can use Vertec via the Cloud App (Thin client on your Windows PC or laptop), your browser or your smartphone. Access is independent of location and is possible with all devices. If you want to work decentralized and mobile, you are well positioned here. As an ERP from the cloud, Vertec combines the most important business processes in one system.

The prices for the Cloud Suite are calculated per user on a monthly basis and thus offer you a high degree of flexibility. For example, if one of your employees leaves, the notice period is three months. Maintenance and support hotline as well as software updates are included in the monthly prices for the CRM in the cloud, so you can plan your costs even if you hire more employees and thus add new Vertec users.

Management of licenses in the Customer Portal

Thanks to cloud licensing models, costs can be planned better, licenses can be managed flexibly via the Customer Portal, and features can be scaled as needed. Seamless working from various locations at the highest level of security and with the most current features is guaranteed at all times.  

Vertec is a future-proof software that is continuously improved every day. Customers benefit automatically from innovations in the Cloud Suite and thus remain optimally positioned for the future.

How do I move to the cloud?

The first step is to contact Vertec. The contact person is the respective salesperson, who, with the help of a project leader, coordinates the change together with our administration and support, investigates technical issues and plans further steps on Vertec’s side.

One advantage of the Cloud Suite is that the latest Vertec version is automatically installed at regular intervals. In addition to functional enhancements, this entails a high level of security. In the case of On-Premises installations, however, the customer is independently responsible for keeping his Vertec up to current. In the cloud Vertec Cloud Suite offers the best possible technical requirements to ensure a smooth operation.  

What are the things to keep in mind when considering a change?

Database compatibility

One essential prerequisite for such a change is the compatibility and customization of the database. Your own database must be a Firebird database that is also cloud ready. The version of the database to be transferred must correspond exactly to the version of the database in the Cloud Suite.

Furthermore, old reports should no longer be available. This means that only Office reports and extended Office reports are allowed. Vertec offers an Office-based, cloud ready report generator for this purpose. Extended Office reports are based on a report definition in the form of Python code. Word reports should therefore be generated by Vertec on the server side, and not by Office on the respective client.

Are all my extensions cloud ready?

Analogous to the database used, the extensions used must be cloud ready. You can check whether all the extensions used are cloud ready by referring to the Knowledge Base article “What works with which apps?”.

Subsequently, the cloud subscription can be Customer Portal purchased independently from Cloud Suite in the Customer Portal.

The software licenses already purchased from existing On-Premise installations remain valid, but cannot be transferred to the Cloud Suite. With a Cloud Suite contract, a new contractual relationship begins, independent of previous On-Premises purchases. After that, the databases are transferred to the Cloud Suite by Vertec.

Vertec is flexible

In principle, a switch to a Cloud Suite is possible at any time. A Cloud Suite contract is concluded for an indefinite period, but can be terminated at the end of the next quarter. The notice period is 20 days for the customer and three months for Vertec.

It is also possible to switch from Cloud Suite to On-Premises. Again, the respective salesperson is the customer’s first point of contact for all necessary steps.
