Map case participants and evaluate them in the conflict check
This feature helps to clearly enter and present ownership relationships in cases.
In this way, lawyers maintain an overview in their Law Firm Management which individuals or organizations participate in a mandate and in which role. The integration in the conflict check is particularly helpful: Participations are automatically considered. This reduces risks when accepting a client and supports compliance with professional law requirements. The assignment of roles works flexibly, so that individual structures can also easily be mapped.
With the feature "Case participants" participants in cases can be entered in a structured and systematic way. The feature expands your Vertec with specific structural elements and settings:
After import, the new folder "Case participants" is created under Settings > Cases which lets you manage all participation relationships centrally. Each participation consists of a link between a case, a person, an organization involved and a role.
Roles indicate in which position a person or company is involved in a case, such as e.g.: client, adversary, consultant, or witness. In addition, each role is assigned a role type that is relevant to the conflict check:
The default roles can be customized. Organizations can add, rename or deactivate roles, depending on their needs and where they are used.
Any number of participants with specific roles can be defined in each case. The assignment is done via the mandate mask or directly via the participation table.
The integrated conflict check automatically evaluates the case participants. This procedure checks whether there are potential conflicts of interest with existing cases or participations. This increases legal certainty when accepting mandates.
The feature can be expanded with your own fields or evaluations. Participations are clearly documented for authorized users – including history and role progression, if desired.

Also, helpful is the splitting of invoices, within which the total of an invoice is distributed over several recipients. As for e-billing, Vertec works with the LEDES and XRechnung (Germany) formats.
Many companies often use Excel for time and performance recording or other time tracking tools. Afterwards, this data is copied manually to Word for invoicing. Before invoicing, the back-office must obtain approval from the recorder or employee responsible for the performance delivered. After invoicing, it sends the invoice again for final approval. Often changes are made to texts or services entered.
Vertec helps you save a lot of time here. Approval procedures ensure that the correct services appear on the invoices and approval by the person responsible is granted. The services can be approved periodically and then blocked for further adjustments. Individually for each case or project, you can also implement any other approval procedures. You can, for example, approve individual services or grouped services on individual service lists. Once a month, the supervisor or responsible employee checks the services and releases them altogether for invoicing.
Your back-office or administration can see at a glance which services can be charged and which should remain open until the next billing cycle. By this approval procedure, fewer subsequent adjustments to invoices need to be made.
Also a plus: internal communication is reduced to a minimum.
